Slug Success User Update 10/27/17

Hi all,

I'd like to share with you some recent changes and updates that have been made to the Slug Success system, which will hopefully help you and your students work with the system more effectively.

Recent changes:

The system timeout has been extended to two hours (I alluded to this in my last update email) which seems to be helping offices who utilize the kiosk functionality. Please remember that if you're leaving your workstation unattended, it is now even more important that you proactively log out of the system to maintain student data security.

Advisers should no longer be receiving notifications for events associated with other advisers, i.e. college advisers receiving cancellation notices for meetings with major advisers

The student self-scheduling workflow has had some additional language added which will hopefully allow students to better select the appropriate major/departmental adviser for appointments.

New tags have been added for students in in the following EOP Student Groups: EOP, Bridge, Men of Color. You'll see these tags on a student's profile screen and can search for these tags from within the Advanced search screen

General updates/info:

Students may contact you to ask about an "appointment" that shows up on their Slug Success calendar (and their Google calendar, if they're synced), which will appear whenever you create an Advising report, regardless of whether you met directly with the student. This is expected behavior - you may want to prepare a standard response that you can provide to students who ask about this which is along the lines of “we have added an advising note to your student profile and this created an “appointment” - if you’d like to discuss this or anything else with your adviser(s), please schedule an appointment or come to walk in hours” etc.

A number of users have asked in the past about sharing Watch lists between users. I have been informed of an existing method, available to all users who are an "adviser" in Slug Success, that allows you to access others' watch lists and saved searches (though not share maintenance/updates of those lists, which I am still asking EAB to implement). Simply look up that user in the top menu search like you would a student, then click the small triangle next to "Assigned Students" under the user's name to view that user's Saved Searches and Watch Lists. The list of students will update to show the corresponding list. You will not be able to change or update the list in any way, but you can use the Actions menu similar to how you would for your own lists. Please keep this in mind when naming your watch lists and saved searches, as these names are visible to users across the platform.

Campaigns:

Remember that all campaigns are visible to everyone working with campaigns, so it is really important that you name your campaigns appropriately. Including your unit name, the term or other date marker, and the topic or reason for your campaign is a good place to start. It will also make it easier for you to find your own campaigns in the future.

Reminder about the campaigns calendar - always post your campaigns on the calendar and check the calendar before sending to ensure that students are not being inundated with appointment requests.

Coming soon:

Work is being done to prepare for the predictive analytics functionality to be added to Slug Success, so you may see some changes in the Training site as the model is being developed and tested. This may include predicted Support Levels and/or Success Markers on student profiles, and it may appear and disappear seemingly at random. Additional information will be sent out once we're ready to move this data/functionality into the main site.

Minors! Student minors will soon be visible in the main site (we've been validating this info in the Training site for some time now). Those who advise for particular minors will see the associated students added to their "Assigned students" lists once some additional behind-the-scenes work has been completed. Minors will be added to students' profiles as a category (similar to their assigned college) and will look like this: "Minor: Art History (ARTHMIN)"

As always, if you have questions please email slugsuccess-help@ucsc.edu.

Thank you!
