Slug Success User Update 2/23/18 - Winter Site Update

Hello Slug Success Users,

 
Over the weekend, EAB will be applying their "Winter Release" update to our Slug Success site. This update will offer a number of improvements throughout the platform, with most changes related to Appointment Campaign functionality. None of these changes require immediate action from you, but feel free to use anything that may make your work easier. Please read below for a list of the changes, and if you have any questions please email slugsuccess-help@ucsc.edu.
 
Improvements to Appointment Campaigns
  • Add attachments to campaign emails - Initial campaign emails to students can now include documents or images as attachments to help the student prepare for the appointment. If a user adds one or more attachments, the attachment will be included on a list on the Confirm Campaign page. Attachments are sent with the appointment invitation email but are not displayed in other locations with appointment information, such as the appointment request banner students see when logging in to Slug Success. 
  • Active campaigns show on student profile - A new box called Active Appointment Campaigns has been added to the Student Profile (Adviser view), which will display all active campaigns the student is a part of. This information will also include a link to the campaign information on the Campaigns tab. In addition, if you are the creator of a campaign or a participant in a campaign, that information will display below the campaign information on this tab.
  • No-show students can reschedule appointments - Previously, students who were marked as no-shows to their campaign appointment were unable to reschedule through the campaign link. With this update, they can now reschedule a campaign-related appointment through the campaign link.
  • No-show and Cancelled appointments appear as "Not Yet Made" in reports - In Appointment Campaign reports, appointments that have been canceled or are marked as no-shows appear as “Not Yet Made”. Appointments that have been scheduled but not yet attended (because they are in the future), and attended appointments will appear as “Made”.
  • Export list of students in a campaign - Users now have the ability to export the list of students included in an appointment campaign from that Appointment Campaign’s Actions menu. Exporting this list at least twice—once before the start of the campaign and once at the end—will allow for easier reporting on campaign results. The exported list includes the student’s name, student ID#, major, support level, cumulative GPA and credits earned.
  • Custom email text when re-sending appointment campaign invitations - Users can now change the email text when re-sending appointment campaign invitations, and add or delete attachments. This supports sending different (or more urgent) messages to students who have put off making an appointment.
Improvements to Appointment Center
  • Take action from appointment pop up window - Users can now take action from the pop up window that appears when they hover on the calendar. You can edit the appointment, move it, send a message to the attendees, or cancel the appointment directly from the pop up window. This streamlines the process by saving clicks.
  • New "In Progress" and "Recent" appointments tables - Two new tables have been added on the Scheduled Appointments tab in the New Appointment Center: In Progress Appointments and Recent Appointments. This shold help offices better manage their appointment queues at busy times. 
Improvements to Advanced Search
  • Grades search field under Course Data now "multiselect" - This field has been changed to include all possible grade options (including I and W), as well as to allow multiple grade selections in a single search
  • No repeated major names - There was a known issue in Advanced Search where a major might appear twice in a search. This was caused by a single major having two different potential degrees. For example, the BA in Biology and the BS in Biology would be treated as two different majors and be repeated in the list. This has been resolved. Users will not see duplicated names on a list of majors.
  • Classification and category(College, minor) visible in results - Previously, if you selected “Not Enrolled” while searching for students, no data would display in the Classification and Categories columns for non-enrolled students. This has been updated. Non-enrolled students will have categories and classifications appear in their search results.
Student-facing scheduling
  • Greater flexibility in times for student appointments - For students trying to schedule an appointment at a :15 or :45 interval (e.g. 9:15, 10:45, etc), the system now allows them to schedule 30, 45, and 60 minute appointments. Previously, 30 minute appointments could only be scheduled on :00 or :30 times. 
Change to student profile
  • Display "Withdrawn" grades in final grade on student profile - The student profile now displays Ws (for Withdrawn) in the Final Grade column in Classes This Term section of the profile.
